Executive/Personal Assistant to Motel Owner - Kaikohe
Location: Paihia, Far North, Northland
Payrate: $30.00 to $40.00 per/hour. Pay will depend on work expereince
Employment Type: Full Time, Permanent - 30 hours minimum per week (Need to be willing to work whenever requested/ public holidays/summer time - Monday to Sunday 8am - 10pm ).

We’re looking for an experienced and highly organized Executive Assistant to support our owner with administrative tasks, project management, and day-to-day operations.This role is ideal for someone who enjoys a mix of executive support and hands-on involvement in the hospitality industry.
Position Overview:As the Executive Assistant to the Motel Owner, you will be responsible for coordinating daily activities, managing communications, overseeing schedules, and assisting with various projects related to motel operations. This role requires excellent organizational skills, discretion, and the ability to multitask in a fast-paced environment.
Key Responsibilities: Manage the owner’s calendar, schedule meetings, and prioritize appointments
Handle communication on behalf of the owner, including emails, phone calls, and correspondencePrepare reports, presentations, and other documents as requested
Assist in managing motel operations, including coordinating with front desk, housekeeping, and maintenance teams
Monitor inventory, coordinate with vendors, and manage ordering for supplies
Support the owner in financial tasks such as budgeting, expense tracking, and invoice processing
Conduct research, prepare briefings, and gather information for strategic decision-making
Help with guest relations and address any escalated concerns to ensure high satisfaction
Organize and maintain files, records, and other administrative systems
Perform other administrative tasks as needed to support motel operations
Qualifications/experience:Proven experience of at least 3 years as an Executive Assistant, Administrative Assistant, Hotel or Motel Receptionist or in a similar role (hospitality experience a plus)
Exceptional organisational and time-management skills
Strong verbal and written communication skills
Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and basic knowledge of motel management software
Ability to handle confidential information with discretion
Detail-oriented and proactive in solving problems
Flexible and available to assist during peak hours or emergencies
Knowing another language is beneficial but not necessary.
