About this role | Mō tēnei tūranga We are looking for an Executive Assistant to provide high quality support to the Chief Executive for School Property and the Office of the Chief Executive- School Property.
This key supporting role calls for discretion and superb prioritisation skills.
This office works closely with parliamentary and external stakeholders so experience with political interface and knowledge of both the construction industry and the machinery of government is essential.The role of Executive Assistant will also extend to communication with other senior level stakeholders and daily work will cover many areas within the School Property portfolio.
The ability to be adept at navigating a variety of tasks with poise, professionalism and a service-centric mindset are important and valued in the team.
You will need to demonstrate initiative and a high degree of professional independence, self-discipline and remain calm under pressure.
This role requires the proven ability to balance a variety of projects, in addition to day-to-day obligations.
You will effectively manage competing time pressures and anticipate demands and make decisions.
In doing so, you will identify emerging issues and risks and take steps to manage them appropriately and consultatively where required.
You will provide support by effectively managing diaries, ensuring the Chief Executive for School Property and the Office of the Chief Executive
- School Property are appropriately prepared for, and supported, in their day-to-day activities.
This role performs a wide variety of, at times, complex administrative, secretarial, coordination and research responsibilities that require considerable confidentiality, initiative, tact and independent judgment.
You will have a track record of excellent customer service focus and dedicated to meeting the expectations and requirements of internal and external customers.You'll be able to establish and maintain strong relationships across a diverse group of internal and external customers and gain their trust and respect.
Excellent interpersonal, communication, and information sharing/technical skills are required, and a detailed knowledge of School Property and Ministerial Systems (Oracle Fusion, K2, ProcureEd, METIS, Orbit) is preferred.
Salary range: $74,015
- $86,939 per annum + 3% kiwi saver.
- School PropertyAbout you | Mōhou akeIdeally you will have proven significant EA experience ideally within the public and construction sectors, and knowledge/experience in an education setting would be of benefit.
You will also offer: Proven experience providing executive support to multiple senior leaders and/or Chief Executives in a complex organisation, preferably within a large government organisation or the construction industry.
Experience liaising with internal and external stakeholders across Minister's offices, government agencies and the public sector.Excellent verbal and written communication skills, including the ability to calmly and effectively respond to changing or complex situations.
Attention to detail and excellent time management and organisational skills.
The ability to build and maintain strong relationships across a diverse group of contacts.
The ability to quickly establish and maintain a high level of trust and confidence both internally and with external stakeholders.
Proven experience with managing changes to multiple diaries, travel schedules and events.
Experience with supporting a team of senior professionals in a collaborative and positive manner, providing appropriate support and guidance.
Demonstrated ability to identify and effectively manage risks to ensure delivery, minimising impacts.
A willingness to respond where there is urgency, complexity and sensitivity.
The ability to adhere to the Public Service Standards of Integrity and Conduct.
Tertiary qualification or relevant job experience required.

Political awareness and knowledge of government processes, with an ability to navigate ambiguity in a complex environment.Timely decision making in often a high pressure and volatile environment.
