Executive Assistant - Support the Senior Leadership Team

We're on the lookout for a proactive and highly organised Office Administrator Manager to support our dynamic team based in Auckland. About the Role

In this key role, you'll be the backbone of our Head Office operations, ensuring administrative functions run efficiently and professionally. You'll work closely with both internal teams and external stakeholders, supporting the executive team, managing communications, coordinating office logistics, and assisting in finance and facilities management.

This position reports to the Finance Manager and plays a pivotal role in ensuring smooth day-to-day operations that support the broader business unit.

What You'll Be Doing
  • Managing reception duties and all general office administration
  • Coordinating meetings, travel bookings, and internal events
  • Handling correspondence, diary management, and staff contact lists
  • Supporting finance tasks such as invoice processing, purchase orders, and reconciliations
  • Maintaining filing systems and overseeing office facilities and suppliers
  • Assisting with internal communications and supporting the GM where needed
  • Contributing to a positive, professional, and safety-conscious work culture
About You
  • 2+ years of administration experience, ideally in a construction or project-based environment
  • Advanced Microsoft Office skills
  • Excellent written and verbal communication
  • Strong organisational skills and a knack for multitasking under pressure
  • Confident, tactful, and great at resolving issues with a solutions-focused mindset
  • High attention to detail and a genuine client-first approach
Minimum Requirements
  • High school certification
  • Relevant administrative or secretarial training/qualifications
