We are seeking a friendly, well-presented, organised, and proactive Reception Administrator to be the first point of contact for customers, people we support and callers to our office. This role is essential in delivering excellent customer service, both face-to-face and through phone and email communication, while providing efficient administrative support to the team. A typical day would cover the points below:
- Front desk and customer service: Assisting customers with a range of services, handling incoming calls and emails, and forwarding to the appropriate team member.
- Permit processing and payments: Process permit applications accurately and efficiently, take payments via card or cash, issue receipts accordingly, and balance and reconcile the daily cash sheet each day.
- Room bookings and administration: Manage room bookings, including confirming availability, ensuring the confirmations are completed and saved, and updating calendars. Provide administrative support to the team when required.
- Maintenance support: Log maintenance queries and track them to resolution, liaise with contractors to request quotes and schedule necessary works, and provide support in following up on outstanding maintenance issues.
With the support of the Senior Lead Administrator and Business Support Team, our organisation will require that you:
- Be an integral part of the Business Support Team and collaborate and support the team when required, and contribute to a strong team dynamic
- Provide accurate, quality and responsive customer service, as the first point of contact, for all people visiting and communicating with CCS Disability Action Auckland Branch.
About you
We are looking for a person who has:
- Experience in customer service, reception or administration.
- Excellent accuracy, organisational skills and time management with attention to detail.
- Confidence in handling cash and basic financial reconciliations.
- Proficiency in Microsoft Office and email systems.
- Ability to multitask and remain calm under pressure.
- Strong communication skills and a professional, friendly, and customer-focused manner.
- Can manage difficult customers with professionalism and calmness.
- Have empathy and patience.
- Have a willingness to learn and be a team player.
- Have an understanding or lived experience of disability.
- You understand and are committed to providing supports in line with the Ti Tiriti o Waitangi.
