Administrator - Dargaville
SOS KAIPARA is based in Dargaville and works throughout the Kaipara District, we provide specialist support, counselling, refuge accommodation and prevention education services to women and children who have experienced family and / or sexual harm.
We are a long-standing and trusted Organisation with great functional relationships within our Community and long-term funding Contracts in place to deliver our holistic and diverse programmes.
We are now in urgent need of a part-time, skilled Administrator to provide efficient and vital support to our Service Manager and our whole, but small team of dedicated professionals, who are leading our sexual and family violence services to the Kaipara District community.
The successful candidate will provide efficient administrative support to the Service Manager and staff of SOS Kaipara, ensuring the smooth day-to-day functioning of services and operations. This includes office coordination, supporting key projects, managing supplies across three sites, assisting with financial tasks, and maintaining professional communication with clients, whanau, and external stakeholders.
KEY RESPONSIBILITIES: -- Provide direct administrative support to the Service Manager,
- Provide day-to-day administrative and clerical support to all staff

- Maintain efficient office systems, records, and supplies
- Support the coordination of meetings, travel, and agency events
- Prepare agendas, take minutes, and track action items for key meetings
- Provide administrative support for projects, initiatives, and audits as needed
- Prepare documents and correspondence with professionalism and accuracy
- Assist in petty cash, invoicing, and account preparation for processing
- Assist with logistics and resourcing for SOS properties
- Maintain tidy and welcoming office environments
- Work collaboratively with the Clinical Administrator to ensure shared systems and consistent administrative support across the organisation
- Uphold respectful, trauma-informed communication with clients and whanau
- Support staff with light troubleshooting of office systems and liaise with IT support as needed
- Accurately and confidentially maintain client and service records in the agency’s information systems
- Assist with basic Health & Safety tasks including site checks and hazard reporting
- Excellent interpersonal and customer service skills
- Strong time management and the ability to multitask
- Proactive and able to use initiative
- Strong computer literacy (Microsoft Office, internet, email, client management system)
- Good written English, formatting, and proofreading skills
- High integrity, confidentiality, and professionalism
- Positive attitude and good sense of humour
- Awareness of tikanga Maori and commitment to culturally safe practice
- Understanding of trauma-informed principles and how they apply in administration work
- Minimum of 3 years’ experience in administration or office support roles
- Experience working in social services, not-for-profit, or community settings preferred
- Holds a clean New Zealand Driver’s Licence
- Satisfactory Police Vetting Clearance
- Respects client confidentiality and privacy at all times
In summary, we are also looking for a natural, customer service focused individual, happy to assist our staff and clients, who has a friendly, professional face to face and telephone manner and a flexible work approach, with the ability to prioritise their workload.
We are offering $28 - $33 p/hr, dependant on experience, working part-time, 20 hours per week (Mon – Thurs 8am – 2pm) - although we can be flexible for the right candidate!
