The Role
John Holland is currently seeking an experienced Quality Administrator/Document Controller to join their quality team on the new Southern Stations Project in Auckland, New Zealand. This is an exciting opportunity and project to be a part of, which will assert a lasting impact on a key piece of rail infrastructure that will serve Auckland for generations to come.
This role will see you manage various aspects of document control, including the receipt, storage, retrieval and circulation of documents, review coordination, external submission and distribution control. Provide administrative support to project, which typically includes tasks as data entry; the maintenance of quality records; compiling of reports.
Key Responsibilities- Assist the Quality Team in keeping up-to-date records of work progress.
- Compile lot records, chase and close out missing information when required.
- Create and manage internal logs for tracking various document control activities.
- Organize and track the exchange of documents between all relevant parties, such as clients, subcontractors, and the project office.
- Verify that all document submissions are consistent with project branding and format requirements.
- Establish and maintain a correspondence tracking system, including progress tracking and follow-up communications with Project team members.
- Establish procedures and manage the distribution, collection, and processing of documents in line with project guidelines for the creation, evaluation, and approval of design documents and other necessary materials, instructions, certifications, and records.
- Establish and implement an efficient project-related document control register, database and hard copy filing system.
- Manage the storage and filing of project and company records.
- Conduct on-site checks and reviews to ensure project standards are met.
- A relevant qualification in Business Administration, Finance, Human Resources or other associated disciplines.
- 1-3 years’ experience in document control.
- Advanced computer skills.
- Prioritisation skills.
- Records management.
- Knowledge of project management systems and processes.
- Experience in project environment or equivalent industry.
- Aconex experience.
